POSITION
The Coordinator of Learning & Engagement plays a vital role in the coordination and execution of diverse programs offered at Sonoma Botanical Garden. This dynamic position involves coordinating logistics for activities, tours, lectures, workshops, and classes aimed at engaging audiences of all ages. This position collaborates closely with the Visitor Experience Team, leadership, garden volunteers, and community partners to ensure the seamless delivery of enriching experiences for our visitors.
KEY RESPONSIBILITIES
- Coordinate the logistics of public programs including tours, lectures, workshops, classes, and other activities.
- Collaborate with the Visitor Experience Team and Marketing to schedule and promote programs effectively.
- Coordinate volunteer recruitment, communication, support, orientation, tracking, and recognition.
- Identify needed training and schedule instructors.
- Maintain volunteer records, database, handbook, and procedures.
- Monitor service and training hours for record keeping and send reminders to volunteers as needed.
- Schedule open shifts in Volgistics and activities and ensure needed shifts are filled.
- Work with management to develop and implement greater volunteer engagement.
- Liaise with community partners to organize and facilitate tours, classes, and workshops.
- Ensure all group tour inquiries have been responded to and communicate all confirmed tours and details to the Visitor Experience Team.
- Complete trainings and actively engage computer software, such as Veevart (CRM) to organize, track and manage garden offerings.
- Assist in developing program content and educational materials.
- Communicate offerings in a variety of ways.
- Ensure a welcoming and informative atmosphere for all program participants.
- Participate in community outreach efforts, such as staffing informational tables at local events or attending education workshops.
- Community Partners
- Coordinate logistics and plans for public programs presented by and in collaboration with community partners.
- Interest in and willingness to build new partnerships in alignment with the Garden’s goals.
- Maintain accurate records of program attendance, feedback, and other relevant data.
- Assist in the evaluation and improvement of existing programs and the development of new initiatives.
- Contribute to the overall mission and objectives of Sonoma Botanical Garden.
- Other duties as assigned to meet the needs of the organization.
- Keystone public programs include
- Volunteer-led general guided tours
- Acoustic Sunsets (weekly Wednesday evening concerts May – Oct)
- Sunday Funday (monthly family program June – Aug)
- Rotating special exhibitions
QUALIFICATIONS
- Bachelor’s degree in environmental science, education, art, botany, or related field preferred.
- Previous experience in program coordination, event planning, volunteer management or related roles.
- Excellent organizational skills with meticulous attention to detail.
- Strong interpersonal and communication skills, with the ability to engage with diverse audiences.
- Warm, friendly demeanor with a passion for working with the public.
- Ability to work independently as well as part of a collaborative team.
- Flexibility to work weekends and evenings as needed.
- Exceptional reliability and attendance.
- Knowledge of local flora and fauna preferred.
- Experience with community outreach and engagement activities preferred.
- Bilingual English & Spanish preferred.
- Valid CA driver’s license required, must have a clean driving record.
PHYSICAL DEMANDS AND WORK ENVIRONMENT

- Physical Demands: Requires some physical activity: limited lifting and carrying (up to 40 lbs.), moving from place to place which may include standing and/or walking for extended periods of time.
- Work Environment: Work is performed in shared indoor and outdoor space in all weather conditions with staff and visitors following applicable health regulations and guidelines.
- Equipment: General office equipment, charge card terminal, VoIP (Voice over Internet Protocol) telephone, golf cart, two-way radio, and computerized point-of-sale, registration, and e-commerce systems.
- Schedule: Position requires regular onsite weekday and weekend hours, and occasional holidays and evenings. Hours may fluctuate based on seasonal needs.
- Possible Tuesday – Saturday schedule
- Current CPR and First Aid Certification or willingness to acquire certification within 6 weeks of employment.
- Able to pass required criminal background check via fingerprinting process upon hire.
